CASE STUDY

WellCube

An IoT-enabled system made to optimize work environments

The project

In 2022, Delos set out to create a solution that will help organizations create healthier office environments and provide insights into how people use the office spaces today.

The Outcome

We created WellCube - a modular, IoT-enabled system of hardware and software that can optimize healthy work environments.

Software - A suite of 3 apps geared at 3 types of user: Mobile App for WellCube Site Designers, web app for Facility managers and display app for Employees.

Hardware - Sensors and air purifiers that provide hyper-localized air purification, indoor environmental quality (IEQ) monitoring and data-driven insights to help understand how people use spaces.

The team and the process

01

DEFINE

TEAM: Products owners, business stakeholders, Design Director

WHAT: Through a series of interviews, understand the need for the product in the market and the problem it is going to solve.

02
RESEARCH

TEAM: UX Research team, Prod. Owners, Design team

WHAT: UX Research team over the course of 2 months, conducted dozens of interviews  with the goal to understand how many types of users and what are heir needs. Through both customer journey mapping, as well as user-testing some high-level ideas and lo-fi wireframes, the team was able to gain valuable insights.

03
ANALYSIS & PLANNING

TEAM: UX Research team, Product

WHAT: The UX Research team distilled the information gathered in the research stage, synthesized it in form of a summary and developed 3 key user personas to design for: Site designers, Facility Managers and Employees. Meanwhile, the Product team developed user stories and created the high-level product roadmap.

04

DESIGN

UX / UI DESIGN

TEAM: Design director, Staff Product Designer, Product Designer (UX focus), Product Designer (Ui focus), Design Technologist

WHAT: Initially, the design work was  split into two streams: D/S and UX Research support. This way, we were able to work in parallel on creating the foundations for the design system, as well as actively participating in research and analysis stages. Once the feature work started, we employed Tiered Team Approach to our work.

PROTOTYPING

TEAM: Staff Product Designer, Design Technologist

WHAT: I consider prototyping to be an essential part of the design process because it helps the team better understand the intricacies of the user experience.  We created prototypes for every feature, with prototype presentations at the end of each 2-week sprint, at minimum.

TESTING

TEAM: Staff Product Designer, Product Designer (UX focus), Product Designer (Ui focus), Design Technologist, QA Team

WHAT: The nature and the magnitude of our product did not allow us to test it with the real users, however I ensured that the internal design QA is built into sprints in form of dedicated time for designers to QA the developed work.

UXD

WHAT: Installer Mobile app is an app which enables WellCube site designers to set up and commission device throughout the site.

PERSONA: Installer. Their NEEDS are: see and manage upcoming installations, commission / decommission devices, manage devices across spaces.

HOW: We implemented a process where two designers would work on each feature which gave us the ability to expand and improve upon the work within the same sprint.

01

Mobile App for WellCube Site Designers

WHAT: A web app which enables users to create the site design, control the WellCube system and gain insights into it's performance.

WHO: There are two user profiles for this app:
WELLCUBE ADMIN (i.e. WellCube tech sales) and
ORG ADMIN (i.e. facilities manager).

Their NEEDS are:
- WellCube admin needs to be able to set up and manage admin access for clients.

- Org Admin needs to be able to access and manage the design of the site, devices across the site, add/remove users and run reports.

HOW: Each need was broken down into features and each feature was validated by 2 designers for usability and design, then prototyped and validated with the product managers and other stakeholders. We implemented a process where two designers would work on each feature which gave us the ability to expand and improve upon the work within the same sprint.

02

Web app for WellCube Facility Managers

THE TEAM: The greater design team consisted of the UX Research and the Core Design team (including a design technologist).

I joined the team at the Senior Design level, and within only a few months  I was performing at the Staff Product Designer level, being responsible for the design output by defining design processes and solving problems at UX and Ui levels.

THE PROCESS: While we did not diverge from the standard approach to product design process, we did modify it to fit the structure of our team and meet the objectives set out by our stakeholders. We used a Tiered Team Approach due to size of the project and the number of players involved.

Our design team was a contributing partner to the industrial design team and we were involved in all aspects of the (physical) product design: from early on sketches to materials and finishes stages.
